About this tool

PTO / Vacation Accrual Calculator is a free, in-browser tool that projects your paid-time-off balance from how you earn it. Enter your annual PTO allowance in hours or days, choose whether you accrue per hour worked or per pay period, then add your starting balance and PTO already used. It returns your current balance in both hours and days, the amount accrued so far, and your accrual rate. Nothing is uploaded.

For per-hour accrual, the rate is annual PTO hours ÷ 2080 (a standard full-time year of 40 hours × 52 weeks), and accrued PTO is hours worked × that rate. For per-pay-period accrual, the rate is annual PTO hours ÷ total pay periods, and accrued PTO is periods elapsed × that rate. Your current balance is starting balance + accrued − used, and it is also shown in days using your hours-per-day setting.

Use it to check a paystub's PTO figure, plan a vacation, or see how much time off you will have earned by a future date. If you enter the allowance in days, it is converted to hours using your hours-per-work-day value before accruing.

Frequently asked questions

How is the per-hour accrual rate calculated?
Accrual per hour = annual PTO hours ÷ 2080, where 2080 is a full-time work year (40 hours × 52 weeks). Accrued PTO is your hours worked so far × that rate, so a 120-hour annual allowance earns about 0.0577 hours of PTO for every hour worked.
How does per-pay-period accrual work?
Accrual per period = annual PTO hours ÷ total pay periods in the year (26 for biweekly, 24 for semi-monthly, 12 for monthly). Accrued PTO is the number of periods elapsed × that per-period amount.
How is my current balance computed?
Balance = starting balance + PTO accrued so far − PTO used. It is shown in hours and also converted to days using your hours-per-work-day setting (default 8), so 52 hours reads as 6.5 days.
Are these figures official?
No. This is an estimate based on the inputs you provide; your employer's policy, caps, carryover rules and rounding may differ. All calculation happens locally in your browser and nothing is uploaded.
