Billable Hours & Utilization Rate Calculator

Calculate your utilization rate, effective hourly rate and billable-to-available ratio from billable and total hours.

About this tool

Billable Hours & Utilization Rate Calculator is a free, in-browser tool for agencies, consultants and freelancers that measures how much of your available capacity turns into billable work. Enter billable hours and total available hours and the utilization rate updates instantly, all computed on your device with nothing uploaded.

Utilization rate = billable hours ÷ available hours × 100. If you also enter revenue for the period, the tool derives your effective hourly rate as revenue ÷ total available hours — what every hour of capacity actually earns — and your realized billing rate as revenue ÷ billable hours. The billable-vs-available tile shows the raw split so you can see idle capacity at a glance.

Use it to benchmark a team: professional-services firms often target 75–85% utilization. A high billing rate paired with low utilization can earn less than a modest rate kept busy, and this calculator makes that trade-off visible.

Frequently asked questions

How is the utilization rate calculated?
It is billable hours divided by available (capacity) hours, times 100. If you worked 1,400 billable hours out of 2,080 available, utilization is about 67%.
What is the difference between the effective and billing rate?
The effective hourly rate spreads revenue across all available hours (revenue ÷ total hours), reflecting real earning power. The billing rate spreads it only across billable hours (revenue ÷ billable hours) — the price clients effectively paid.
What counts as available hours?
Your capacity for the period — typically scheduled working hours, e.g. 2,080 for a full-time year or 160 for a month. Exclude time you never intend to bill if you want a stricter target; the choice is yours.
Is revenue required?
No. Utilization needs only billable and available hours. Revenue is optional and, when supplied, unlocks the effective and billing rate tiles. All figures stay in your browser.
