About this tool
The Party Tableware & Rentals Calculator is a free, in-browser tool that turns a guest count into a full shopping or rental list: plates, cups, napkins, forks, knives, and spoons. It applies per-guest multipliers that account for refills, second helpings, and dropped items — the reason experienced hosts always buy more than one of each per person — and rounds each item up to the vendor pack size you enter. Everything is computed locally in your browser.
The multipliers follow catering practice. Plates: 1.5 per guest for the main course, plus one more per guest for each extra course served (appetizer, salad, dessert), and +0.5 for buffet self-service where guests take a fresh plate. Cups: 2 per guest with one drink type (3 for a disposable cocktail event), plus one more per additional drink type, since people grab a clean cup for water, soda, or coffee. Napkins: 2 per guest at a cocktail event, 3 with a full meal. Flatware: forks 1.5 per guest (2 when salad, main, and dessert are all served), knives 1 per guest, and spoons 0.5 per guest (1 when dessert is served). Each total is rounded up, then divided by your pack size to give packs to buy.
As a worked example, 50 guests at a plated dinner with one drink type need ceil(50 × 1.5) = 75 dinner plates, ceil(50 × 2) = 100 cups, 150 napkins (3 each), 75 forks, 50 knives, and 25 spoons. At a pack size of 50 that is 2 packs of plates, 2 of cups, 3 of napkins, and so on. Buying by the pack, always round up — leftovers store fine and running out mid-party does not.
