About this tool

The Party Food Quantity Calculator is a free, in-browser tool that turns a headcount into concrete amounts of food to prepare — pounds of main protein, sides, starch, and salad, plus counts of bread rolls, appetizer pieces, and desserts. Enter your adults, children, meal style (plated, buffet, or appetizers-only), and event length, and it applies professional caterer per-guest benchmarks so you buy and cook the right quantities. All math runs locally in your browser and nothing you enter is uploaded.

The method weights children as half an adult (effective guests = adults + 0.5 × children), then multiplies by standard per-guest rates: boneless main protein 0.5 lb, sides 4 oz, starch 4.5 oz, salad greens 3 oz, 1.5 bread rolls, and dessert at one serving plus a 10% buffer. Appetizers are 4 pieces per guest before a full meal, but in appetizers-only (cocktail-party) mode they follow their own model of 6 pieces per guest for the first hour plus 3 per additional hour. A meal-style multiplier scales the food down for a buffet (0.8) versus a plated dinner (1.0), reflecting that guests self-serve smaller average portions from a spread.

As a worked example, 20 adults and 6 children at a plated dinner gives 23 effective guests: about 11.5 lb of main protein, 5.75 lb of sides, roughly 6.5 lb of starch, 4.3 lb of salad, 35 rolls, 92 appetizer pieces, and 26 desserts. Choosing buffet trims the weighed items by 20%. These are planning estimates that already fold in a buffer — appetites, menu variety, and how long food sits out all shift the real numbers, so treat the totals as a confident starting point.

Frequently asked questions

How much food do I need per person?
For a full meal, plan roughly 0.5 lb of boneless main protein, 4 oz of each side, 4–5 oz of starch, and 3 oz of salad greens per adult, plus 1.5 rolls and a dessert. Children count as about half an adult portion.
How many appetizers per guest?
When a meal follows, plan 4 appetizer pieces per guest. For a cocktail party with no meal, plan about 6 pieces per guest for the first hour and 3 more for each additional hour, since appetizers are the whole menu.
Does a buffet need more or less food?
Slightly less per person on the weighed items — this tool applies a 0.8 multiplier for buffets versus a plated dinner. Guests take smaller average portions from a spread, though offering more variety can offset the saving, so a 10% buffer is built in.
How do I count children in the totals?
Children are weighted as half an adult, so effective guests = adults + 0.5 × children. All per-guest rates are applied to that effective figure. If you're serving mostly hungry teens, count them closer to full adults.
